Sharing & Collaboration
FeatureShare workflows with teammates and collaborate
Overview
Share your workflows with team members to collaborate on automation projects. Control who can edit or run your workflows with role-based permissions.
Sharing a Workflow
- Open the (saved) workflow you want to share
- Click the Share button at the top-left of Visual Studio (or Share on the workflow in My Workflows)
- On the Invite tab, enter the email address of the person to share with
- Select their permission level (Owner, Editor or Runner — Runner is selected by default) and optionally add a message
- Click Send Invitation
The invitee gets an email and accepts the invitation from their Shared with me page; invitations expire after 7 days. Once accepted, the workflow appears under Shared with me in their My Workflows. Only the workflow's owner can send invitations.
Permission Levels
Runner
- Can view the workflow structure
- Can run the workflow, using their own browser profile
- Can see execution history and logs
- Cannot modify the workflow — changes they make on the canvas aren't saved
Editor
- Full access to view and modify
- Can add, remove, and configure nodes
- Can run and test the workflow
- Cannot share the workflow or delete it
Owner
- Everything an Editor can do
- Can delete the workflow
- Inviting people, changing roles and removing access stay with the workflow's original owner
Managing Access
In the Share dialog, the workflow's owner can:
- See who has access - The Manage tab lists the owner, active collaborators and pending invitations
- Change permissions - Switch an existing collaborator between Owner, Editor and Runner
- Remove access - Revoke a collaborator's access (and any credentials you shared with them)
- Copy Link - On the Invite tab, copy a link that opens the workflow in Visual Studio for people who have access
Best Practices
Use Descriptive Names
Give workflows clear names and descriptions so collaborators understand their purpose at a glance.
Principle of Least Privilege
Grant the minimum permissions needed. If someone only needs to run a workflow, make them a Runner, not an Editor.
Credentials Are Not Shared by Default
Your credentials (API keys, connected accounts) are not shared unless you turn on Share Credentials in the invitation and pick which ones. Shared credentials can only be used within that workflow — the collaborator can't export them or use them elsewhere, and you can revoke access at any time. Otherwise, collaborators connect their own credentials to run the workflow.
